Working with Comments

1. MS Word

Highlight comments in the text (recommended)

(In some earlier versions of Word, Comments were referred to as Annotations or Hidden Text.)

Word for Windows: If Comments are not highlighted, click on Tools > Options > View > ScreenTips.

Word for Mac OS X: If Comments are not highlighted, click on Word > Preferences > Show > Screen Tips.


Open the reviewing toolbar for working with Comments

Word 2000: Open the Reviewing Toolbar by clicking on View > Toolbars > Reviewing, or simply select View > Comments.

Word 2002-2003: Change the setting in the 'Display for Review' option on the Reviewing Toolbar to 'Final Showing Markup', and/or click on the Reviewing Pane on the Reviewing Toolbar.

Word 2007 and later: Change the setting in the 'Display for Review' option on the Review tab to 'Final: Show Markup', and/or click on the Reviewing Pane on the Review tab.

Word for Mac OS X: Open the Reviewing Toolbar by clicking on View > Comments.

To insert, edit, view previous, view next, or delete comments, click on the comment icons on the reviewing toolbar.


Another way to insert a Comment

In some versions of MS Word (including Word for Mac OS X), selecting Insert > Comment will enable you to insert a Comment.


Another way to delete a Comment

Comments can normally be deleted by right clicking on the comment and selecting 'Delete Comment'.

Please note that these instructions relate to the English version of MS Word, and commands may differ slightly in non-English versions.

2. WordPerfect

Viewing Comments

In Draft view, Comments are displayed as shaded text in the text of a document. In Page view and Two Pages view, Comments are displayed as icons in the left margin.

Each comment icon is a rectangle that displays as a balloon.


Working with Comments

To display or hide the Reveal Codes window, click View, then Reveal Codes.

A check mark next to the Reveal Codes command indicates that Reveal Codes are displayed.

The Reveal Codes window can also be hidden by right-clicking in the Reveal Codes window, then clicking Hide Reveal Codes.

Draft view attempts to match the fonts you have chosen, and displays the document close to the way it will look when printed. Draft view does not display certain document features, such as headers, footers, and watermarks, even though they might exist in the document.


Deleting Comments

Comments can be deleted from a document by using Reveal Codes, or by right-clicking on the Comments icon and choosing 'Delete'.
